Claims Coordinator
DESCRIPTION OF EMPLOYER: Founded in 1901, Feeser’s Food Distributors is a family owned and operated full-line foodservice distributor located in Harrisburg, Pennsylvania servicing the Mid-Atlantic region. Feeser’s provides an expansive offering of dry, refrigerated, and frozen products to a diverse customer base comprised of restaurants, healthcare facilities, educational facilities, and other institutions.
SUMMARY: The Claims Coordinator position is responsible for continuous follow-up and follow-through of all worker’s compensation claims, accidents, and injuries. The Claims Coordinator plays a key role in all aspects of site safety and continuous improvement efforts for the betterment of the operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Coordinate portfolio of workers’ compensation claims (current and run-off programs), accidents, incidents, and injuries.
- Responsible for reviewing workers’ compensation claims, accidents, incidents, and injuries collecting relevant facts surrounding the circumstances of the claim, and assisting with making the initial determination of claim type (reportable or recordable OSHA)
- Coordinate return-to-work program; work with supervisors, medical providers and employees regarding work restrictions, documentation, and ability to accommodate according to company guidelines to proactively return injured employees to work as quickly as medically possible.
- Coordinate processing workers’ compensation claims, accidents, incidents, and injuries received, ensuring all documentation and investigations are completed and submitted.
- Work with assigned claims administrator on claim status throughout the “life” of the claim.
- Maintain effective management of files with regular follow up.
- Review and approve workers’ compensation reserves and settlements proposed by the third-party administrator and strategize on claims management approaches.
- Provide written analysis and recommendations for workers’ compensation reserves and settlements to supervisor.
- Coordinate first aid claims processing, including proactive communications.
- Maintain proactive communication with injured employees through local contacts throughout the life of the claim; priority is to maintain positive communication with employees to return to work and reduce likelihood of litigation.
- Maintain regular contact with insurance carrier/claims adjusters/third-party administrator on claim status, proactively driving responses and reviewing reports with supervisor; make recommendations on claims handling and seek direction from supervisor on open issues.
- Meet regularly with supervisors to provide updates on claims and open/unresolved issues, with the objective of driving for claims closure and regular status updates.
- Maintain claim service instructions for third-party administrator.
- Prepare monthly/quarterly/annual summary reports from insurance carrier/broker/ third-party administrator for distribution.
- Coordinate in the preparation of reports and presentations on an as needed basis
- Communicate workers’ compensation leaves with the Human Resources department.
- Coordinate workers’ compensation settlements with Chief Counsel
- Organize and complete workers’ compensation claim reviews and audits helping to assist with the resolution of the claims.
- Coordinator with the processing of wage statements as requested from the workers’ compensation process.
- Assist Safety Manager with assured duties etc.
- Assist and conduct new hire orientations.
- Coordinate the processing of workers’ compensation subpoenas and provide direction on subrogation with carriers/TPA.
- Develops and provides workers’ compensation training programs to support current and ongoing initiatives.
- Coordinate with other workers’ compensation duties as directed by supervisor on an as needed basis.
- Serve as site safety liaison to all departments. Facilitate safety committee meetings. Review, maintain, and provide gap analysis on safety certification records including material handling equipment, pre-shift inspections, trailer inspections, and other relevant safety documentation as assigned.
- Proactively work with management team on continuous improvement efforts to enhance the operation.
- Assist Safety manager in OSHA 300 Forms.
- Other duties as assigned by management.
SKILLS REQUIRED:
- Must be able to work independently and be self-directed, but also have ability and understanding of areas that require authorization and direction from supervisor, and when/how to provide regular updates.
- Energetic, driven personality with a demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines and meet objectives.
- High level of customer service and ability to effectively interact with all levels within the organization as well as outside with various vendors and providers.
- Highly organized, with the ability to process a very high volume of paper and information in an effective manner, including ensuring that information and its impact on the organization is absorbed and understood.
- Must be proficient in all Microsoft Office applications, Word, Excel, and PowerPoint; good comfort level with integrating multiple applications to streamline operations through technology solutions.
- Able to use technology effectively to create meaningful reports and measurements.
- Professional, articulate, and able to use good independent judgment and discretion.
- Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.
- Ability to follow policies and procedures.
QUALIFICATIONS & EXPERIENCE:
- Must possess a high school diploma or equivalent.
- College degree with emphasis in business, human resources, or related field is a plus.
- 1-3 years of related experience in human resources, worker’s compensation, or other related field is preferred.
- Must be able to work in varying facility conditions and temperatures.
- Experience working with worker’s compensation claims administration in a corporate, carrier, legal or third-party administrative environment.
- Ability and availability to work irregular or extended hours including nights, weekends and holidays as needed.
PHYSICAL REQUIREMENTS:
- Ability to physically stand, bend, squat, and lift equipment up to 50 pounds.
- Remaining in a stationary position, often standing or sitting for prolonged periods.
- Moving about to accomplish tasks or moving from one worksite to another.
- Must possess visual acuity, i.e., close, distance, and color vision, depth perception and the ability to adjust.
- Repeating motions that may include the wrists, hands and/or fingers.
