Rebate Coordinator
DESCRIPTION OF EMPLOYER: Founded in 1901, Feeser’s, Inc. is a family owned and operated full-line foodservice distributor located in Harrisburg, PA servicing the Mid-Atlantic region. Feeser’s provides an expansive offering of dry, refrigerated, and frozen products to a diverse customer base comprised of restaurants, healthcare facilities, educational facilities, and other institutions.
SUMMARY: The Rebate Coordinator is responsible for management and maintenance of all rebates from set-up through month-end billing. The Rebate Coordinator will work closely with vendors and our Sales and Purchasing Teams to ensure completeness and accuracy of all rebates.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversee the entire rebate process, from setup to tracking sales and ensuring accurate rebate issuance
Keep detailed and up-to-date records of each customer's rebate agreements, amounts, and effective dates
Serve as the point of contact for all rebate-related matters between accounts payable, sales, marketing, vendors, and customers.
Ensures promotional pricing and rebates are correctly applied and tracked.
Adhere to company policies and external rebate regulations and assist with audit processes when necessary.
Process rebate calculations, payments, accruals, and reconciliations
Reconcile rebate accruals with actual payments and resolve any discrepancies.
Resolve rebate-related issues or disputes promptly and amicably.
Maintain positive working relationships with suppliers for ongoing cooperation.
Participate in cross-functional teams to integrate rebate management with business processes.
Manage and optimize customer and vendor rebate programs
Analyze rebate data, identify trends, and prepare reports on financial impact
Support audits, policy compliance, and continuous process improvement
Coordinate GPO, promotional, and purchase-based rebate programs
Track and invoice sales and purchase based rebates
Maintain various vendor accounts receivable accounts by posting payments and making necessary adjustments
Communicate professionally and clearly with others within the organization phone and/or e-mail
SKILLS REQUIRED:
Organizing and prioritizing daily activities
Attention to detail and accuracy
Data entry skills
Microsoft Office Suite (Outlook, Word, Excel)
QUALIFICATIONS & EXPERIENCE:
Associates degree or equivalent from a two-year college (required)
Minimum 2 years of data entry experience (required)
Knowledge of general accounting principles (preferred)
Experience with large ERP (preferred)
PHYSICAL REQUIREMENTS:
Remaining in a stationary position, often standing or sitting for prolonged periods.
Ability to physically stand, bend, squat, and lift equipment up to 20 pounds.
Communicating with others to exchange information.
Repeating motions that may include the wrists, hands and/or fingers.
